About the Position

Pine Creek Medical Center, a fast-paced acute care hospital, is searching for an experienced and proactive Administrative Assistant that serves as the assistant to the Chief Executive Officer, Administrator, and Chief Financial Officer. Performs secretarial functions, coordinates meetings and serves as liaison with departments.

Essential Functions and Responsibilities

  • Provides support such as typing, filing, and managing calendars, travel arrangements, and expense reports, and classes.
  • Maintains administrative files for President and Executive Staff prepares and distributes correspondence for executives.
  • Serves as coordinator for Board of Managers and Physician Partnership.  Schedules meetings, faxes notices, orders food, prepares agendas, organizes board books and arranges for required audio/visual equipment prior to meeting.  Takes notes and records minutes at meetings.  Transcribes minutes and obtains approvals and signatures.  Arranges special Board functions as requested.
  • Serves as coordinator for the Executive / Director meetings.  Schedules meetings, sends notices, orders and sets up audio / visual equipment prior to meeting, if needed.  Takes notes and records minutes at meetings, transcribes minutes, Distributes approved minutes to required attendees.
  • Assists Administrative Team in preparation of audits, budgets, surveys and visits by corporate, federal agencies, regulatory bodies, etc.
  • Arranges meetings and conferences, schedules appointments and interviews, and performs other duties related to maintaining officers’ personal schedules.
  • Establishes, maintains, and revises record keeping and filing systems, ensuring the confidentiality of information (i.e., financial statements, staff and legal information).
  • Maintains good communication and working relationships with all departments within the hospital and management companies.
  • Regular predictable attendance is required.

Minimum Qualifications  

  • Bachelor’s degree preferred, preferably in Business, Communications or Marketing from a four-year college or university; High School diploma or equivalent required.
  • Minimum of five years’ experience as Administrative Assistant preferred.
  • Three to five years in healthcare industry interacting with executives and physicians preferred.
  • Proficient in Microsoft Office (Outlook, Word, Excel, Powerpoint, Publisher) required.
  • Typing – 45 wpm.
